We are a high end home restoration company looking to add an Experienced Administrative Assistant .

The primary responsibilities for this role will include:

• Reception; maintain professional front desk appearance and create a welcoming environment for clients, vendors and new recruits.
• Draft correspondence; proofread documents; assist with preparation of presentations; may independently prepare simple written correspondence within established guidelines.
• Provide assistance to research, compile, proofread and edit text and graphics for reports, specifications and proposals.
• Assist with proposal, report, and contract document printing and production (binding, collating, quality checking, packaging, shipping, etc.); coordinate with Reprographics.
• Monitor and process routine administrative items such as accounts payable, expense reports, supply requisitions, personnel transaction forms, including change of status, prospective employee interview scheduling, and new hire orientation.
• Schedule appointments; update calendars; assist with travel arrangements.
• Schedule meetings, coordinate meetings; prepare draft-meeting minutes.
• Maintain records, create and maintain charts, graphs, spreadsheets and databases.
• Perform client/job/contract set up.
• Perform document control administration for all assigned projects.
• File (paper and electronic); fax; copy; distribute mail.
• Set up and maintain files for all assigned projects.
• Participate actively with other administrative support staff in assisting other teams, within and external to the project, as needed.
• Organize and maintain libraries.
• Other duties as assigned.

Qualifications Required Qualifications & Skills

• Minimum of three (3) years of experience providing administrative support, preferably with a professional A/E services firm.
• High School diploma or equivalent, .
• Proficiency in Microsoft office (Word, Excel, PowerPoint), and Outlook (Calendar and Address functions).
• Able to establish and maintain high standards while focusing on deadlines
• Ability to monitor, edit and review your own work and 2work of others.
• Able to handle confidential and time-sensitive information with discretion and independent judgment.
• Self-motivated and proactive; demonstrated interest in taking initiative, anticipating needs, carrying projects through to completion with minimal direction, and working with a high degree of urgency while responding to multiple priorities.
• Superior organization and project management skills.
• Positive attitude and flexibility in environment of tight deadlines, frequent interruptions, unresolved problems, changes, and unexpected events.
